Reconciliation: checking against the firm's records

Reported signed cases must agree with the firm's own records within 2%, or within 1 case when there are fewer than 50, and the gap is printed every week.

The Probative Standard v1.0, §Data quality.

Reconciliation is checking the reported signed-case count against the firm’s own records every week, and printing the gap. The report and the firm’s system must agree within 2% on the signing-date basis, or within 1 case when the period has fewer than 50, because a percentage of a small count means little.

Where it fits

Reconciliation is check 3 of Signal Health. It uses the signing-date basis because that is what the firm’s system counts (cost per signed case). At kickoff, the firm’s own statuses are mapped to the Standard’s stages, and the mapping is printed in the report.

The variance line

Platform-reported conversions appear in one place: a line comparing what each platform reported, what the report counted and what the firm’s records show. They never appear in headlines.

Late signings and restatement

  • Weekly figures are provisional. Cohort figures update whenever a stage lands.
  • Monthly close. By business day 5, the monthly close restates the trailing 12 weeks.
  • Quarter close. A quarter’s figures freeze at the quarterly review’s data freeze; any later change appears in the next review’s restatement table, never silently.
  • Platform values. When value bands change, earlier uploads are restated where the destination allows adjustments, as Google’s Data Manager API does (Google); otherwise new values apply to new uploads only, and the switch date is logged.

Restatement is not correction

New information restates a number. An error is a figure that differs from what the Standard’s rules produce on the data available when it was reported. Material errors (a changed signed-case count, a cost per signed case moved by 5% or more, a changed test category, or anything touching a decision we recommended) are disclosed to the firm in writing within 2 business days, with a corrected report.

Traceability

The firm can read the working rows behind any number: one row per lead, keyed by its record ID, with no names, plus the upload logs and change logs. On request, any reported number is traced to its rows within 2 business days.

Questions firms ask

How close must reported signed cases be to the firm’s records?
Within 2% on the signing-date basis, or within 1 case when the period has fewer than 50 signed cases.
Where do platform-reported conversions appear?
In one place only: the variance line that compares platform, report and firm counts.
Is a restated number an error?
No. New information, such as a late signing, restates a number. An error is a figure that differs from what the rules produce on the data available when it was reported.
