A report on signed cases is only as good as the records behind it. This page explains what we read from your intake and case system, the three ways we connect to it, and how a signed case flows back to your ad accounts. A signed case means a new client who signed with your firm.

What we read

We ask for a short list of fields, and only these:

  • A record ID that your system assigns, so we can match a row without knowing who the person is.
  • The stage of the record: new inquiry, qualified, consult held, signed, or lost.
  • The dates each stage was reached.
  • The source, such as a call, a form, a map listing or an ad.
  • The language of the first contact and the case type.

We do not ask for names, phone numbers, injuries or case facts. They stay in your system.

Three ways we connect

  1. A read-only connection. If your system offers one, we ask for a login that can look but not change anything.
  2. A scheduled export. Your system, or a person on your team, sends a file on a regular schedule. This is the most common route.
  3. A shared sheet. For firms that track signed cases by hand, a sheet shared with us works. We check it against your other records.

If your system offers none of these, tell us what it does offer. We would rather find a route than ask you to switch tools.

Systems we work from

Law firms use many intake and case systems, and we work from what each can export or share. Examples of systems law firms use include Litify, Lead Docket, Clio Grow, Filevine, Lawmatics and SmartAdvocate. We do not claim certification, partnership or a pre-built connector with any of them. If you use a system not named here, ask.

How a signed case flows back

  1. An inquiry arrives from a call, a form or an ad. The ad click ID, if there is one, is saved with the record.
  2. Your team works the record in your own system and moves it through your stages.
  3. We read the stage change from the export or the connection.
  4. When a record reaches signed, we send the signed time and the click ID to the ad platform as a conversion. Google explains the idea in its help page: importing offline conversions lets you measure what happens after an ad click.
  5. If a signed matter later ends, we send a correction, so the platform does not keep rewarding it.
  6. The report counts the same signed case from your records, from the platform and from ours, side by side, and prints any gap. See how we count signed cases.

What stays in your system

  • Names, phone numbers and case facts.
  • Your notes, documents and fee agreements.
  • Your stage definitions. We map to them. We do not replace them.

Who owns the data

Your firm does. The records stay in your system. The ad accounts and reports are in your name, and you can share the reports with any other vendor so that everyone is judged on the same numbers. Our terms in plain English say the same.

What this means for your firm

  • Pick the route that costs your team the least time. A scheduled export is usually enough.
  • Write down your stages before kickoff, so the map is quick.
  • Make sure the click ID is saved with each inquiry. Without it, a signed case cannot be tied back to an ad.
  • Check the data-health page first each week. It says whether the numbers can be trusted.

Signed-case reporting is included in every plan. See the prices, or ask for the free review and we will look at your setup first. Free tools: the signal-health check lists ten checks of whether your ads can see your signed cases.

Marketing information, not legal advice.

What's included

  • A kickoff step that maps your stages (new inquiry, consult, signed) to ours, printed on the first page of the report
  • A read-only connection, a scheduled export or a shared sheet, whichever your system supports
  • Record IDs, stages, dates, sources, language and case type, with no names or case facts
  • Signed cases sent back to the ad platforms as conversions, with the time they signed
  • A data-health page that shows which checks pass and which do not
  • Written notice if a connection breaks or a field goes missing

How oftenThe connection is set at kickoff, and the first report prints how your stages map to ours.

What's not included

  • Names, phone numbers, injuries or case facts in any report or upload
  • Your system's own subscription or any call-tracking subscription, which your firm pays directly
  • Custom software built inside your case system
  • A claim of certification or partnership with any software vendor

Questions firms ask

Which case management systems can you work with?

Systems law firms commonly use, for example Litify, Lead Docket, Clio Grow, Filevine, Lawmatics and SmartAdvocate. We work from what your system can export or share read-only, so a tool we have not listed can often work too. We do not claim certification or partnership with any vendor.

Do you need to log in to our system?

Not always. A scheduled export or a shared sheet works for many firms. When a system offers a read-only connection, we ask for that and nothing more.

Do you see client names or case facts?

No. We work from record IDs, stages, dates, sources, language and case type. Names and case facts stay in your system.

How does a signed case reach Google Ads?

When a record reaches the signed stage, we send the signed time and the ad click ID that was saved with the inquiry, so the platform learns which clicks became clients. The file carries no names.

What if our stages are different from yours?

We map them at kickoff and print the mapping on the first page of the report. If your stages change later, tell us and we update the map.

Who owns the data?

Your firm. The records stay in your system, and the reports and ad accounts are in your name.

Step 2 of 2. Where should we send the video for your site?

We use this to send your video and to reply to you.

We use what you send to reply and to send a few short follow-up emails (unsubscribe any time). To learn which of our ads work, we tell Google, Microsoft and Meta that a request came in, with the ad you clicked (if any) and a hashed copy of your email and phone (a code the platforms can still match to you), never your message. Never sold, never added to lists. Global Privacy Control or an email to us turns this off. By sending this form you agree to our privacy policy.
