After-hours intake kit: a seven-day log and a checklist
Log every call and form that reaches your firm outside business hours for seven days, then see how many were answered. Printable log and CSV. Free.
What is this for?
Inquiries that arrive when the office is closed are easy to lose and hard to see. This kit is a log you fill in for seven days. At the end you know how many arrived outside business hours and how many a person answered.
For how calls outside business hours compare, see the calls and hours table. For the first hours after an inquiry, use the speed-to-sign checklist.
Before the week starts
- Write down your posted business hours.Anything outside them counts as outside business hours, including evenings, nights and weekend days.
- Pick the one person who fills in the log each morning. The same person every day keeps the entries alike.
- Turn on a time stamp for every call and form. You need the minute each one arrived and the minute it was answered.
When the week ends
- Count the inquiries that arrived outside business hours.Calls and forms separately.
- Count how many were answered by a person within the hour.A voicemail is not an answer.
- Decide who answers evenings and weekend days from next week.A person or a service that can take details and book a time.
- Ask for the free review if more than half went unanswered.A second look at what clients see can find what you cannot.

How was this built?
What it covers. A seven-day log of calls and forms that arrive outside business hours, a checklist for before and after the week, and a CSV copy of the log.
Method. You fill in the log from your own phone and form records for seven days. Outside business hours means any time other than your posted weekday opening hours, as defined on the methods page.
Limits. Seven days is a sample. A holiday or a busy week changes it, so repeat it. The kit does not store anything you write.

Questions people ask
What counts as after hours in this kit?
Any time other than your posted weekday opening hours. That includes evenings, weekends and holidays, plus lunch hours if your office is closed then.
Does the kit store what I write in the log?
No. The log is filled in on your own screen or a printed copy, and nothing you type is sent or saved by us. The CSV copy is made in your browser.
What should I do with a week of results?
Look at which hours had missed calls and which got a reply the same day. Fix the slowest gap first, then repeat the week to see whether it closed.
